The Sales Administrator is responsible for providing efficient administrative support to the Sales Department. This role involves handling various tasks, including order processing, communication with customers and stakeholders, documentation management, and coordination with different teams to ensure smooth sales operations. The Sales Administrator plays a pivotal role in maintaining effective communication and workflow procedures within the department.

Key Responsibilities:

  • Manage daily administrative operations of the Sales Department, including tasks such as ticketing, hotel bookings, and preparing outgoing letters to hospitals.
  • Correspond with the Principal Company to obtain approval for equipment prices and calculate total equipment costs.
  • Implement and follow office workflow procedures to optimize efficiency.
  • Coordinate with Sales Division Heads, Service Managers, Store Managers, and Finance/Account Coordinators for timely processing, delivery of goods, and receivables.
  • Review and control sales agreements, ensuring compliance and maintaining proper documentation.
  • Ensure availability of necessary sales-related equipment and materials.
  • Provide after-sales support and address customer complaints effectively.
  • Organize and maintain financial and non-financial data in electronic formats and prepare reports.
  • Process orders accurately and in a timely manner, keeping clients informed of any delays or issues.
  • Monitor team progress, identify areas for improvement, and propose enhancements.
  • Ensure adherence to relevant laws and company policies.
  • Develop and maintain a systematic filing system for active sales files.
  • Manage inventory of custom sales presentation materials and ensure they are up-to-date.
  • Assist in creating sales presentations as needed.
  • Conduct regular inventory checks and submit records to the appropriate individuals.
  • Support other teams with various administrative tasks as required.
  • Maintain files and records using effective filing systems.
  • Coordinate and manage necessary documents during bidding processes and tender submissions.
  • Resolve administrative issues by analyzing and communicating solutions.
  • Oversee promotional expenses and prepare necessary documentation.
  • Assist in the preparation and organization of promotional materials and events.
  • Communicate and coordinate customer complaints for prompt resolution and positive customer relations.
  • Perform other duties as assigned by the office.

Requirements and Qualifications:

  • Strong communication and interpersonal skills.

  • Proficiency in MS Word and Excel.
  • Familiarity with NAV Vision software is a plus.
