The Executive Secretary to the General Manager will provide high-level administrative support to the General Manager of the company. This individual will be responsible for managing the daily operations of the General Manager’s office, handling confidential information, coordinating communications, and ensuring the efficient functioning of the office.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the General Manager, including managing schedules, organizing meetings, and handling travel arrangements.
- Communication Management: Facilitate communication between the General Manager and internal/external stakeholders by drafting correspondence, responding to inquiries, and maintaining effective communication channels.
- Documentation and Record-Keeping: Manage and organize documents, reports, and records, ensuring accuracy, confidentiality, and accessibility as needed.
- Calendar Management: Coordinate and maintain the General Manager’s calendar, scheduling appointments, meetings, and ensuring timely reminders.
- Information Management: Collect, analyze, and present data as required by the General Manager, contributing to decision-making processes.
- Office Operations: Oversee the smooth functioning of the General Manager’s office, including managing office supplies, handling incoming requests, and providing support to other administrative staff as needed.
- Special Projects Support: Assist in special projects, research, or initiatives as directed by the General Manager.
- Confidentiality: Maintain absolute confidentiality and discretion in handling sensitive information and matters related to the General Manager’s office.
- Relationship Management: Foster positive relationships with internal teams, external contacts, and clients on behalf of the General Manager.
- Adherence to Policies: Ensure compliance with company policies and procedures, as well as regulatory requirements in all activities.
Qualifications and Skills:
- Proven experience in a senior administrative or executive support role.
